Freight Dispatch
Dispatch and fleet operations across 14 depots

The project
A freight operator running 14 depots planned its daily dispatch on four spreadsheets and a whiteboard in each yard. Every load, vehicle and driver lived in a different place, and dispatchers spent most of the morning rekeying the same information.
We built a dispatch and fleet operations platform around one scheduling model, shared by every depot. It went from first visit to live in five months.
The challenge
Each depot planned its own way. Loads arrived by email and phone, vehicle availability sat on one sheet, driver hours on another, and the plan for the day was written on a whiteboard that nobody outside the yard could see.
Head office had no single view of the network, and moving a load between depots meant phone calls. Any new system had to fit how the loading bay actually works, or it would not be used.
The solution
We started with a week on the loading bay, not in a workshop, then built one scheduling model for every depot. Loads, vehicles, trailers and drivers sit in a single plan, and dispatchers drag loads onto vehicles with capacity and driver hours checked as they go.
The plan is visible across depots, so loads can be moved without a phone call. Integrations bring orders in automatically, and the platform runs in the cloud so every yard works from the same live picture.
What it does
- One scheduling model for all 14 depots
- Drag-and-drop load planning
- Vehicle and trailer capacity checks
- Driver hours checked while planning
- Cross-depot view for head office
- Orders imported automatically
- Live status from yard to delivery
- Cloud-hosted for every depot
How we built it
- A week on the loading bay: Watched how dispatch really runs before designing anything.
- One scheduling model: Replaced four spreadsheets and the whiteboards with a single plan.
- Depot by depot rollout: Went live one depot at a time with dispatchers alongside.
- Integrations: Connected order intake so loads arrive without rekeying.
The results
- −62% Dispatch time
Backendz & Freight Dispatch: Highlights

They spent the first week on our loading bay, not in a workshop. The system matches how the depot actually runs, which is why people use it.
